Administrative Assistant

Job Title: Administrative Assistant (on-site)

FSLA Status: Non-exempt; At-will

Position Objective: The Administrative Assistant contributes to Seattle Center Monorail’s success by providing dedicated administrative support for the day to day needs of the business. This position encompasses organizational and administrative functions for several departments.

Compensation: $21-$23 (depending on experience)

Schedule: Typically, Monday-Friday

Essential Functions:

  • Administrative work around accounts payable/receivable process
    • Printing, scanning, and filing invoices
    • Preparing checks for mailing
    • Running ridership reports to create preliminary invoice details
  • Facilitate meeting schedules and taking minutes
  • Assist with payroll process
  • Help manage vendor relationships
  • Interacting with employees, fielding questions, and routing questions to the appropriate manager
  • Partner with team to provide creative suggestions and proactive solutions to internal and external customer issues and reporting needs
  • Responsible for ensuring office is properly stocked
  • Assist with regulatory compliance and safety reporting
  • Assist in hiring and onboarding process for new hires
  • Answering the main monorail phone line and responding to customer inquiries
  • This role will have an operational component from time to time which could include assisting with line management/event coordination in the monorail stations
  • Complete other special projects as requested by leadership

Training Overview:

  • Mandatory safety and security training provided by SMS
  • SMS provides employees with first aid and CPR certification training. Employee must keep current on certification

Education and Experience:

  • High school diploma or equivalent
  • At least two years of experience with Microsoft Office (Excel, Outlook, and Word)
  • Accounts payable experience desired

  • Must be able to proficiently read, write, and speak English

  • Must be a cross-organizational collaborator
  • Completes work assignments thoroughly and completely. Identifies and corrects errors. Is careful, alert, and accurate, paying attention to details of the job.

  • Demonstrates skill in guest relations, phone etiquette, filing and multi-tasking
  • Reliable in attendance and punctuality, uses proper time clock and sign in/out procedures
  • Promote and role model a positive and professional attitude to all staff
  • Professional, courteous, and polite manner

Working Conditions:

  • All employees must pass a pre-employment drug screening and are subject to random drug screenings during employment
  • Must be able to work a flexible schedule inclusive of weekends, nights and holidays required
  • Frequent bending, lifting 10-15 pounds, sitting, standing and walking through the building with inclines and stairs.
  • Comfortable following company social distancing and PPE requirements (including wearing a mask for entire shift and gloves when handling merchandise) with or without reasonable accommodations.
  • Comfortable participating in wellness checks including Covid19 testing, and temperature checks during the pandemic.
